Missed calls: what they cost a service business and how to stop losing them

No one can tell you what missed calls cost your business. The number depends on your average job and how many calls come in. You can work it out in about five minutes with your own figures.
A missed call is rarely a lost message. It is usually a customer who calls the next business on the list and books there. Below is how to count the loss and why voicemail stopped working. It also covers what it takes to answer every call while you are on a job.
How much business am I actually losing from missed calls?
Start with your own numbers, not a statistic from the internet. Take the value of an average job, the calls you miss in a week, and the share of those callers you would close.
Say an average job is $400 CAD, you miss 3 calls a week, and you close half the people who reach you. That is $600 CAD a week, or about $31,000 CAD a year.
Get the real count before you change anything. Your phone log shows the missed calls. Your Google Business Profile performance report counts the people who tapped call on your listing (Google Business Profile Help, retrieved 2026-08-31).
What happens when a small business misses a customer's call?
The caller phones the next business on the list. Most people looking for a plumber or a groomer have three results open, not one. They are not loyal yet, because you have never spoken.
The second thing that happens is quieter. That number usually never calls back, so it never shows up as a lost job in your books. It just looks like a slow week.
Pull last month's call log and mark every number that rang once and never again. That is your list.
Why don't callers leave a voicemail anymore?
Because a voicemail gives the caller nothing back. They cannot get a price, a time, or an answer out of it. They also have no idea whether you check messages today or Friday.
Leaving a message means waiting, and waiting is the one thing an urgent job cannot do. A frozen pipe does not wait for a callback, and neither does the person standing next to it.
If you keep voicemail, make the greeting specific. Say when you call back, and give a number people can text. Better still, remove the reason to leave a message at all.
Why do customers call a competitor instead of calling me back?
Because they are not shopping for you. They are shopping to get the problem handled today. The business that answers with a price and a time usually gets the job.
This is not about loyalty or about your reviews. By the time you call back, the other company is often already booked in, and nobody wants to cancel a confirmed appointment.
Measure your answer rate for one week: calls that rang, and calls that got answered. Then compare it to how many rings you give a stranger.
How do I stop missing calls while I am on a job, in an attic or up a ladder?
You stop trying to answer them yourself. Hands on a wrench, a dog or a ladder cannot take a booking, and stopping mid-job costs you time on work you already sold.

There is no single price, and the sticker rate is rarely what you end up paying. Most services bill by the minute or by a bundle of minutes, with a monthly minimum and overage after that. Some add a setup fee.
Ask for four numbers before you compare anything:
- the per-minute or per-call rate
- the monthly minimum
- the overage rate once you pass the minimum
- the setup fee
Then multiply by your real call volume from last month. Flat monthly pricing is easier to plan against, because a busy month does not surprise you.
Do missed calls hurt my Google reviews or reputation?
Not directly, but they quietly cost you reviews. Reviews come from finished jobs, so a call you never answer is a review you never had the chance to earn.
Sometimes the damage is direct. People do write "called three times, no answer" in a review, and that line sits on your profile for years.
Google does not score you on whether you pick up. Customers do. Treat every tap on the call button on your listing as a person standing at your counter.
What about after-hours and weekend calls?
Those are often your best calls. Evening, weekend and holiday jobs carry urgency, the caller has fewer businesses open to try, and emergency work usually prices higher.
They are also the calls most owners lose. The office is closed, the phone is on the kitchen counter, and the caller has moved on within minutes.

Most carriers offer two kinds of forwarding. Unconditional sends every call straight through. Conditional sends only the calls you do not pick up after a set number of rings, so you still answer when you are free.
Ask your carrier for the conditional call forwarding code on your plan. Nothing about your published number changes, and you can switch forwarding off the same way you switched it on.
